General Refund Policy
- Non-Refundable Deposits:
- All initial deposits for any service are non-refundable. These deposits secure resources and cover preliminary costs such as consultations, planning, and initial development.
- Refund Eligibility:
- Refunds are evaluated based on the stage of the project:
- Initial Stage (up to 30% completion): Partial refunds may be considered after deducting administrative fees and costs for completed work.
- Mid Stage (31%-70% completion): Refunds are significantly reduced, with a termination fee of 30-50% of the total project cost.
- Final Stage (above 70% completion): Refunds are not eligible as the majority of the work will have been completed.
- Refunds are evaluated based on the stage of the project:
- Refund Timeline:
- Approved refunds will be processed within 14-30 business days after the refund request is evaluated and accepted.
- No Refund for Delivered Work:
- Once a project has been completed, approved, and/or delivered, refunds are not applicable under any circumstances.
Project-Specific Refund Policies
Software Development (Including ERP Systems)
- Deposits and Payments:
- Deposits made for software development projects are non-refundable.
- Refunds, if applicable, will only cover portions of the project not yet completed or delivered.
- Cancellation:
- If a project is canceled at the client’s request:
- Before 30% completion: Up to 70% of the total paid amount may be refunded after deducting administrative fees.
- Between 31% and 70% completion: A partial refund may be considered, deducting 30-50% of the total project cost.
- After 70% completion: Refunds are not applicable due to the extensive resources and effort already invested.
- If a project is canceled at the client’s request:
- Custom Functionality:
- Modules, APIs, or additional integrations specific to client needs are non-refundable once development begins, as these are tailored to the client’s specifications.
Web Development Services
- Non-Refundable Deposits:
- Deposits for website design and development are non-refundable once the design phase begins.
- Refund Requests:
- If the client cancels the project:
- Before design approval: A refund may be issued after deducting consultation and design costs.
- After design approval or during development: Refunds will not be issued as significant work will have been completed.
- If the client cancels the project:
- Live or Delivered Websites:
- Websites that have been approved, launched, or hosted are considered delivered and are non-refundable.
Hosting, Domain Registration, and Maintenance
- Third-Party Services:
- Payments for hosting and domain registration are non-refundable as these are managed by third-party providers.
- Service Suspension:
- Services on a repayment plan that remain unpaid beyond the due date will be suspended after a grace period of 7 days.
- Self-Deletion Policy:
- If services remain unpaid for more than 3 months, they will be programmed for self-deletion from our servers within a week of suspension.
Other Services (Digital Marketing, Consultancy, SEO)
- Digital Marketing:
- Campaigns and ad budgets are non-refundable once initiated. Ad placements, strategy development, and graphic design costs are deducted from any refundable amount if cancellation occurs.
- Consultancy Services:
- Consultancy fees are non-refundable, as the service is based on expertise and time spent.
- SEO Services:
- SEO is a long-term process. Refunds are not applicable once services commence, as the work depends on external algorithms and consistency.
Refund and Cancellation Process
- Request Submission:
- Clients must submit a written refund or cancellation request to billing@joevichartech.com with detailed reasons for the request.
- Evaluation Timeline:
- Requests will be reviewed within 7 business days to determine eligibility and applicable deductions.
- Decision Communication:
- Clients will receive a detailed breakdown of the refund decision, including deductions for completed work and administrative costs.
- Finality of Decision:
- Once a refund or cancellation decision is made and communicated, it is considered final. Clients may appeal once if new information is provided within 5 business days of the initial decision.
Scenarios Where Refunds Are Not Granted
- Client Delays or Lack of Response:
- If a project is delayed due to the client’s failure to provide necessary materials, feedback, or approvals, refunds are not applicable.
- Scope Creep:
- Refunds are not available if the client expands the project scope beyond the initial agreement without additional payments.
- Completed Deliverables:
- Services that have been fully rendered, approved, or launched are not eligible for refunds.
- Violations of Terms:
- Refunds are not granted if the client breaches any terms of the service agreement.
Important Notes
- Custom Work:
- Projects involving custom development, design, or specialized integrations are inherently non-refundable once initiated.
- Communication Responsibility:
- Clients are responsible for monitoring their invoices, payments, and due dates through the client area. Failure to do so does not exempt them from penalties or service interruptions.
- No Verbal Agreements:
- All refund and cancellation requests must be submitted in writing. Verbal agreements or informal communication will not be considered valid.
- Policy Updates:
- This refund and cancellation policy is subject to periodic updates. Clients are encouraged to review the policy regularly for changes.
